If you're mid-appointment and need reception to rebook someone or take a payment, you shouldn't have to walk out to say so. Team messages sit inside your workspace so you can send the note, attach the client, and carry on.
Where to find it - Team messages in the left menu for the full view. - The speech-bubble icon in the top bar for a quick note from any page.
Starting a conversation 1. Press New. 2. Pick one person for a direct message, or a few people for a group thread. 3. Give a group a name if it helps, like "Front desk".
Attaching things - File: the paperclip. PDFs, photos and scans up to 15MB. - Client or appointment: send from the client or appointment page using Send to team. It sends a link, not a copy - the other person only sees the record if they already have access to it.
Linked clinics If you run two clinics as two workspaces, an owner can connect them under Settings → Linked clinics. Both owners have to agree. Staff can then message across the two, but client cards and appointments stay inside the clinic they belong to, because the two clinics are separate record keepers.
Privacy and records Messages are stored against the workspace. An owner can export the full history from the Team messages page if they need it for their own record-keeping. Files sit in private storage and are only readable by people in that conversation.
Plans Team messages are on Professional and Team. Linking two clinics is Team only.
FAQ
- Do clients ever see these messages?
- No. Team messages are only between staff in your workspace. Nothing shows on a booking page or in a client's portal.
- Will I get an email for every message?
- No. You get an unread badge in the app. Nothing emails by default.
- Can I share a client's notes across linked clinics?
- No. Client cards and appointments don't cross the link - only text and files. If two sites need shared records, run them as one workspace instead.
